These Terms and Conditions govern the relationship between Northern Roots Travel (hereinafter referred to as "the Agency", "we", "us", or "our") and the client (hereinafter referred to as "the Client", "you", or "your") purchasing curated travel experiences, itineraries, and boutique tour services in Portugal.

By booking a trip or using our services, you expressly agree to be bound by these Terms and Conditions. Please read them carefull

1. BOOKINGS AND PAYMENT POLICY

Reservation and Deposit: To secure a booking for a curated itinerary (such as Spring Awakening, The Authentic PortugueseSummer, or The Golden Autumn Heritage), a non-refundable deposit of 30% of the total tour price is required at the time of booking.

Final Payment: The remaining balance must be paid in full no later than 60 days prior to the scheduled departure date. If the final balance is not received by the due date, the Agency reserves the right to cancel your reservation and retain the deposit.

Currency: All prices and transactions are processed in Euros (€). The Agency is not responsible for any foreign exchange fluctuations or international transaction fees charged by your bank or credit card provider.

2. CANCELLATION AND REFUND POLICY

We understand that travel plans can change unexpectedly. However, because we secure boutique accommodations, private transfers, and exclusive experiences in advance, our cancellation policy is strictly enforced:

Cancellations: You will receive a refund of any amounts paid, minus the non-refundable deposit.

Cancellations made between 30 and 59 days prior to departure: 50% of the total tour price will be refunded.

Cancellations made less than 30 days prior to departure: No refunds will be issued.

No-Shows and Early Departures: No refunds or credits will be provided for late arrivals, missed activities, no-shows, or if you choose to leave a tour early for any reason.

3. MANDATORY TRAVEL INSURANCE

Requirement: It is a strict condition of booking with Northern Roots Travel that all clients obtain a comprehensive international travel insurance policy prior to arrival in Portugal.

Coverage: Your insurance must cover, at a minimum: emergency medical expenses, personal accident, personal liability, repatriation, baggage loss, and trip cancellation or interruption.

Proof of Insurance: The Agency reserves the right to request proof of valid insurance before allowing you to participate in any guided tours or activities.

4. ITINERARY ALTERATIONS AND FORCE MAJEURE

Changes by the Agency: While we make every effort to operate all itineraries exactly as published (including boutique beachfront accommodations in Póvoa de Varzim), we reserve the right to make minor adjustments to routes, schedules, guides, or activities due to local conditions, seasonal availability, or operational requirements.

Force Majeure: Northern Roots Travel shall not be liable, nor be deemed to have defaulted or breached this agreement, for any failure or delay caused by events beyond our reasonable control (Force Majeure). This includes, but is not limited to: natural disasters, severe weather conditions, strikes, government restrictions, pandemics, border closures, flight cancellations, or political instability.

5. LIMITATION OF LIABILITY

Third-Party Suppliers: Northern Roots Travel acts as an agent and facilitator, coordinating services provided by independent third-party suppliers (such as boutique hotels, transport companies, local guides, wine cellars, and restaurants). We do not own or control these entities.

Exclusion of Liability: The Agency is not liable for any injury, loss, damage, accident, delay, or irregularity caused by the acts, omissions, or negligence of any third-party supplier, or for any personal injury or loss suffered during the tour.

6. PASSPORTS, VISAS, AND HEALTH REQUIREMENTS

Client Responsibility: It is the sole responsibility of the Client to ensure they possess a valid passport, necessary visas, and fulfill all entry requirements for Portugal (and the European Union's Schengen Area). Passports must be valid for at least three (3) months beyond your planned date of departure from the Schengen zone.

Health and Mobility: Clients must ensure they are in good physical health to participate in the tours, which include walking on uneven cobblestones, hills, or stairs (e.g., historical sites in Porto, Braga, and Guimarães).

7. GOVERNING LAW AND JURISDICTION

These Terms and Conditions shall be governed by, construed, and enforced in accordance with the laws of Portugal. Any legal disputes arising from these terms or our services shall be submitted exclusively to the jurisdiction of the competent courts of Porto / Póvoa de Varzim, Portugal.
