At Northern Roots Travel, we understand that travel plans can change. Our Refund & Cancellation Policy has been designed to be fair, transparent, and easy to understand while allowing us to maintain the quality of our small-group experiences.
By confirming a booking with Northern Roots Travel, you agree to the terms outlined below.
1. Booking Deposit
A booking is confirmed only after the required deposit has been received and Northern Roots Travel has issued a written booking confirmation.
Unless otherwise stated, booking deposits are non-refundable, as they secure your place within a limited-capacity small group.
2. Final Payment
The remaining balance must be paid no later than 60 days before departure, unless otherwise specified in your booking confirmation.
Failure to complete payment by the due date may result in cancellation of your reservation.
3. Traveller Cancellation
If you choose to cancel your booking, the following cancellation charges apply:
More than 90 days before departure
β’ Deposit is non-refundable.
β’ Any additional payments made will be refunded.
61β90 days before departure
β’ 50% of the total trip price will be retained.
31β60 days before departure
β’ 75% of the total trip price will be retained.
30 days or less before departure
β’ No refund will be available.
4. No Show
Failure to arrive for your scheduled departure without prior written notice will be considered a "No Show."
No refunds will be provided.
5. Changes Requested by the Traveller
Requests to change travel dates or transfer to another departure are subject to availability and may incur administrative or supplier fees.
Northern Roots Travel cannot guarantee that changes will be possible after a booking has been confirmed.
6. Cancellation by Northern Roots Travel
Northern Roots Travel reserves the right to cancel a departure due to circumstances including, but not limited to:
Insufficient number of participants
Force majeure
Government restrictions
Safety concerns
Natural disasters
Events beyond our reasonable control
If Northern Roots Travel cancels your journey, you will be offered one of the following options:
Transfer to another departure
Travel credit
Full refund of all monies paid directly to Northern Roots Travel
Northern Roots Travel is not responsible for additional expenses such as:
Flights
Travel insurance
Hotel reservations
Visa costs
Personal expenses
7. Force Majeure
Northern Roots Travel shall not be liable for cancellations, delays, itinerary changes, or interruptions resulting from events beyond our reasonable control, including but not limited to:
Natural disasters
Extreme weather
Wildfires
Floods
Pandemics
Government actions
Strikes
Civil unrest
Terrorism
Transportation disruptions
Whenever possible, we will work with our travellers to provide suitable alternative arrangements.
8. Travel Insurance
We strongly recommend that all travellers purchase comprehensive travel insurance covering:
Trip cancellation
Medical expenses
Emergency evacuation
Lost baggage
Flight delays
Personal liability
Travel insurance is the traveller's responsibility.
9. Refund Processing
Approved refunds will normally be processed within 14β30 business days.
Refunds will be issued using the original payment method whenever possible.
Bank processing times may vary depending on the financial institution.
10. Third-Party Services
Northern Roots Travel acts as an organiser and coordinator of travel experiences.
Certain services may be provided by independent suppliers.
Refund policies for airlines, hotels, transportation companies, and other third-party providers are subject to their own terms and conditions.
